Property and Hospitality Management

A guest checks out of room 214. Their room service, spa visit, and dinner at the hotel restaurant should already be on that one final bill. In most hotels, someone is still chasing three separate vouchers to make that happen.

One guest, one folio, one connected property.

This typical workflow highlights the difference between hotels with connected systems and those relying on separate systems that require manual data entry. QCloudPMS is a comprehensive Property and Hospitality Service Management platform that has been developed and refined over numerous years. It has been deployed in over 100 hotels globally and is marketed by QwickSoft's partner entity, QCloud Hospitality Pvt Ltd. QCloudPMS consolidates front office, direct bookings, restaurant billing, housekeeping, inventory management, payroll, and compliance into a unified system, ensuring that a guest’s entire stay is automatically settled on a single folio.

What fragmented hotel operations actually cost

Properties running on disconnected front desk, restaurant, and accounting systems face a familiar pattern of friction. Room status updates lag behind actual housekeeping progress, so front desk staff either check guests into rooms that aren't ready or leave clean rooms sitting unassigned during a check-in rush. Restaurant and bar charges get manually re-keyed onto guest folios, creating both delay and a real risk of lost vouchers and unbilled revenue. Stock across food, beverage, and amenities is tracked loosely enough that shrinkage and expiry go unnoticed until they show up as a cost nobody planned for. And tax compliance, handled manually, slows down the exact moment, check-out, when a guest most wants to leave quickly.

What the platform manages

  • Front office and guest folio management. Reservation charts, room transfers, walk-in check-in, guest registration cards, and folio management are handled from one visual dashboard, with every charge from every outlet landing on the correct guest folio automatically.
  • Direct booking engine and channel management. A commission-free direct booking engine sits on the property's own website, with two-way synchronisation to external online travel agencies keeping room availability and rates consistent across every channel and preventing overbooking.
  • Restaurant POS and kitchen order ticketing. A multi-outlet restaurant point of sale, with digital menu cards and a dedicated kitchen order ticket app, sends orders to the kitchen instantly and posts dining charges directly to the guest's room folio, with no manual re-entry step in between.
  • Housekeeping and room turnaround. Room status dirty, cleaning, clean, inspected, updates in real time through a dedicated housekeeping mobile app, so front desk always has an accurate picture of which rooms are genuinely ready.
  • Stock, inventory, and procurement. Purchase orders, goods received notes, inter-outlet stock transfers, low-stock reorder thresholds, and expiry tracking keep food, beverage, and amenity costs under control across every department.
  • Banquet and event management. Venue booking, event package setup, facility allocation, and advance payment tracking bring the same folio discipline to weddings, conferences, and banquets that the platform already applies to individual rooms.
  • HR, biometric attendance, and payroll. Staff records, biometric attendance sync, shift scheduling, salary structures, and automated payslip generation keep workforce management inside the same connected system.
  • Statutory tax filing and e-invoicing. Invoice Reference Numbers and signed QR codes are generated automatically at the point of billing, meeting statutory e-invoicing requirements without slowing down a guest at check-out.
  • Executive mobile oversight. A dedicated mobile app gives owners and general managers live occupancy, room sales, dining revenue, and performance metrics from anywhere, on any property they manage.
  • Offline resilience. A dedicated offline-capable web client keeps front desk and point-of-sale billing running through an internet outage, so a connectivity dropout never becomes a guest-facing problem.

How it works

A reservation arrives through the direct booking engine, an OTA, or a walk-in. The guest is registered, a room is assigned, and every charge incurred during the stay- dining, spa, banquet, minibar- posts to that guest's folio as it happens. Housekeeping updates room status in real time as the stay progresses. At check-out, the folio is settled in one pass, with the e-invoice and QR code generated automatically as part of that same settlement. Behind the scenes, stock consumption is tracked against the outlets that generated it, and reporting draws from this single connected record across occupancy, room sales, food and beverage performance, and financial position.

Built on a hundred hotels' worth of real requirements

PMS has not been built to a specification drawn up once and left alone. It has been shaped continuously by the operational realities of more than 100 national and international hotels over many years, refined against what independent hotels, boutique resorts, and multi-property groups actually need at the front desk, in the kitchen, and at month-end close. That history is why the platform covers front office, direct bookings, restaurant operations, housekeeping, banquets, stock, payroll, and compliance as one system rather than as separate modules bolted together after the fact.

A note on restaurant operations

PMS already includes a full restaurant point of sale and kitchen order ticketing capability as part of its hospitality scope, serving hotels that want dining charges to post directly to guest folios as one connected operation. For businesses that want a restaurant system on its own, without the property management layer around it, QwickSoft also offers DineQ, a standalone F&B operations platform built for independent restaurants, cloud kitchens, and multi-outlet F&B chains.

Who it is for

PMS is designed for independent hotel owners, boutique resort operators, multi-property hotel chains, and hospitality groups that run restaurants, bars, banquet facilities, or sports and entertainment operations along with accommodation. It helps every department work from one connected operational and financial record, instead of having to reconcile several systems later.
